How to add a QR code in Canva or Word

Last updated:

Make your code, download it as a PNG or SVG, then insert it like any other picture. In Canva, upload it. In Word, use Insert, then Pictures.

Step 1: make and download the code

  1. Make your code in QRVivid. Check that it says Scans well.
  2. Choose a file:
    • SVG for print. It stays sharp at any size. You get it with Styled code.
    • PNG, Large if your app does not take SVG.
  3. Save it somewhere easy to find, like your Desktop.

Add it in Canva

  1. Open your design.
  2. In the side panel, go to Uploads.
  3. Click Upload files and pick your QR code file.
  4. Click the uploaded code, or drag it onto your design.
  5. Drag a corner to resize. Use a corner, not a side, so the code stays square.

Canva also has its own QR code tool. You can use either. If you want a photo, logo or special style, make the code in QRVivid and upload it.

Add it in Microsoft Word

  1. Click where you want the code.
  2. Go to Insert, then Pictures, then This Device.
  3. Pick your QR code file.
  4. Drag a corner to resize it. Hold Shift while you drag to keep it square, if needed.

Recent versions of Word can insert SVG files. If yours cannot, use the PNG.

Tips so it scans

  • Keep it square. A stretched code may not scan.
  • Keep the white border. Do not crop the code tight. Do not place text or shapes over its edges.
  • Size it right. At least 2 cm wide on paper. Bigger if people scan from farther away. See What size should a QR code be?
  • Do not put it on a busy background. If your design is dark or patterned, put a white box behind the code.
  • Add a short line of text, like “Scan to see our menu”.

Before you print

Export or print one copy. Scan it with your phone, at the real size. Then print the rest.

Make your code

QRVivid is free, with no sign-up. Your code is made on your device, and the link goes straight into the code, so it never expires.
